In partnership with Zephior, we built an AI-driven proposal automation platform that empowers sales and business development teams to generate polished, compliant proposals in minutes — not hours. This solution blends natural language processing (NLP) and intelligent workflows to eliminate repetitive manual tasks, improve cross-team collaboration, and drastically reduce response times for key sales documents such as RFPs and RFIs.

The Challenge

Sales teams face a common pain point: proposal creation is slow, inconsistent, and resource-intensive. Prior to working with MateCube, the client’s process involved:

Impact & Results

The AI-powered proposal automation MVP delivered immediate and measurable business impact by fundamentally changing how proposals are created, reviewed, and delivered within real sales workflows.

By automating large parts of proposal drafting and structuring internal knowledge with AI, the solution reduced manual preparation time by approximately 70%. What previously required days of effort could now be completed in 1–3 hours, enabling sales teams to respond faster to opportunities and increase overall deal velocity.

Beyond speed, the platform significantly improved quality and consistency. AI-assisted content generation and standardized templates ensured proposals remained aligned with internal guidelines, industry standards, and compliance requirements—reducing rework and review cycles while increasing quolity in outbound customer-facing documents.

The introduction of real-time, multi-user collaboration enabled distributed teams to work simultaneously on proposals without delays or version conflicts. This eliminated fragmented workflows and improved cross-functional alignment between sales, legal, and management stakeholders.

From an operational and financial perspective, the impact was substantial:

  • A medium-sized proposal (previously ~12 hours of work at ~€900) was reduced to ~€200–300 in preparation cost
  • A large or RFP-style proposal (previously ~40 hours and ~€3,800 in cost) was reduced to a fraction of that effort
  • Overall, the solution delivered significant cost savings per proposal while increasing throughput without additional headcount

The secure, GDPR-compliant cloud architecture ensured enterprise-grade data protection and performance while providing a scalable foundation for future enhancements. The MVP was successfully deployed into live business workflows, proving its value early and enabling rapid iteration based on real user feedback.

As a result, users were able to shift their focus away from repetitive document drafting and toward strategic sales activities, relationship building, and deal execution—directly supporting revenue growth and long-term scalability.
